We have made improvements to our privacy notice so that it is clear and easy for you to understand and exercise the rights you are granted under the General Data Protection Regulation, which came into force on 25 May 2018, and for you to choose how you want to hear from us.

This Privacy Policy sets out how we obtain, use and protect any personal information you provide to us, whether online, via phone, text, email, in letters or in other correspondence.

Who we are

We are Womankind Worldwide, a registered charity (no. 328206) and Company Limited by Guarantee (Reg. No. 2404121). Each year, supporters like you enable us to support partners. Together with our partners we’re strengthening women’s movements and changing the lives of women and girls around the world. We believe every woman should be able to live without fear of violence, have a say in decisions that impact her and control her own life.  Without your support this work would not be possible.

What information Womankind Worldwide may collect about you

The personal data that we collect about you will be based on how you interact with us, but we collect the following information from many of our supporters:

  • Your name and contact details i.e. postal address, email address and your telephone number or numbers.
  • How you have opted to hear from us, including when you communicated this preference to us.
  • Details of any correspondence that we have had with you, for example if you have ever made a donation by telephone we will have a short record of this conversation.
  • Any fundraising, or advocacy, appeals that you may have responded to.
  • Details of your participation in, or enquiries about, any of our advocacy campaigns or events.
  • Details of any donations you have made to us, including whether or not you have signed up to the Gift Aid Scheme (and when you did so).
  • Information you have provided as part of a recruitment process, when you have applied to join Womankind as a staff member or Trustee.

There is also other information that we may collect and hold in specific circumstances. For example:

  • Your bank account details if you set up a direct debit with us.
  • Campaigning actions that you have taken on our behalf.
  • Our telephone system lists the numbers that have recently called or been dialled, but we do not link these to any individual records.
  • Information to support our work with high net worth individuals, to understand their philanthropic interests, and complete any necessary due diligence.
  • Information relating to your employment with Womankind Worldwide.

Sensitive data

Some personal data is legally considered to be sensitive, and so is subject to additional safeguards – in data protection law this is known as ”special category” data. Data on the following matters is classed in this way:

  • Ethnic origin.
  • Political opinions.
  • Religion or philosophical beliefs.
  • Trade union membership.
  • Biometrics (where this is used for identification purposes).
  • An individual’s sex life; or
  • Sexual orientation.

Similar protections apply to personal data relating to criminal convictions and offences.

We will only collect or use this type of data if there is a specific reason for doing so. We will always explain this reason to you when we ask for the data and will usually ask for your explicit consent to use it.  We wouldn’t ask for consent if it is information that you have clearly made public, for example, the political views of a political figure or candidate, or your religion if you are working with us because you represent a faith group such as your church.

Age is not legally considered as a special category of data, but we will always treat it sensitively.

How we collect your personal information and why we have it

There are a number of ways that we collect information; most often this will be directly from you, for example, if you fill out a form on our website, apply to join our staff or Trustee team, or when you provide directly during an interaction (i.e. telephone call) with one of our fundraisers.

Whenever we ask for information from you we will explain why we are asking for it (including by reference to this policy), and you will always be given a choice about how we communicate with you.

Your data and third party advertising

In some instances, we may share your data with audience Advertisers and advertising networks, such as Meta, build an audience Advertisers and advertising networks that require the data to select and serve relevant adverts to you and others. We do not disclose information about identifiable individuals to our advertisers, but we may provide them with anonymised, aggregated information about our users.

For example we may use your email address to create a Facebook Custom Audience or a Lookalike Audience. This enables us to show you Womankind Worldwide content when you visit Facebook. We provide your email address to Facebook to enable them to determine if you are a registered account holder with Facebook. We may also use your email address to create a Lookalike Audience, where targeted ads are sent to people on Facebook who have similar characteristics to people on our Custom Audience list. For Facebook Custom Audience and Lookalike Audience your email is sent in an encrypted format that is deleted by Facebook.

There are two ways to prevent this use of your data, you can either contact Womankind Worldwide directly (see details below on how to do this) or you can do this via Facebook, see here.

Updating your preferences will not guarantee that you never see Womankind Worldwide content on social media, since the social media site may select you based on other criteria and without your data having been provided by Womankind Worldwide.

Your data and other third party organisations

We do not buy lists of data to use for our marketing purposes but in some very specific circumstances we will gather data from publicly available sources, to help us in our work with High Net Worth Individuals, and may use a third party company to help us do so. As part of this work we may on occasion share this information for research purposes – more details are included below.

We may use companies to provide services and process your personal data on our behalf, where they have a specific expertise or can offer the most cost-effective solution for us.

Some of the activities that third-party companies carry out for us are:

  • packing and delivering postal mail
  • making telephone calls to our supporters
  • sending emails
  • processing credit card payments

Whenever we work with a company in this way, we will always have a contract with them, to be certain that they treat your data with the same level of care and respect as we do. We will only send them the data that they need to carry out their specific service, and they are required to delete it or return it to us once they have completed this. Your data will only ever be passed to them for the services that they carry out on our behalf, it is never shared for their marketing purposes.

We use data from third parties to keep our records up to date, (such as where you have signed up to the Telephone or Fundraising Preference Services) or to enhance the information that we hold (such as to identify your parliamentary constituency). Sometimes you will also provide data to third parties who then pass it to us with your permission. For example, you may be raising money for Womankind Worldwide through JustGiving or similar fundraising platforms, or you may have signed up to receive our email newsletter via a Facebook or Mailchimp form.  There is more information below on how to manage contract preferences.

Job Application Data

All documentation received by Womankind Worldwide in relation to job applications will be processed in accordance with Data Protection legislation. The information will only be used by Womankind Worldwide for its legitimate interests, in the processing of job applications and for ongoing administrative purposes with job candidates.   If you are offered a job by Womankind Worldwide this information will be added to your employee file, otherwise it will be retained for a year from close of the application process.

Anonymous information: cookies

Like most websites, the Womankind Worldwide site uses cookies; small data files that are downloaded when you use a website, to make the site easier to use. The information that is gathered is totally anonymous to us, but it helps us to see how people use our site, so that we can provide a better user experience. You can find out all about cookies in our specific cookies policy.

Our legal basis for using your information

We will always make sure that we consider why we are processing your personal data and identify our legal basis for doing so. Often this will be because you have given us your consent. We may also process your data where we are furthering our legitimate aims and have assessed that the processing is not likely to be too intrusive, or to unduly infringe on your rights and freedoms. In legal terms, this is called the “legitimate interests” basis.   See more details on Legitimate Interests here.

In some cases, we have a legal or statutory duty to process information, and we will always comply with any legal requirement.

We may also process your personal data where it is necessary to carry out the terms of a contract which we have with you (or when we are in the process of forming that contract with you).

Marketing communications

We will make it easy for you to tell us if you would like to receive marketing communications (including fundraising and campaigning communications) from us and hear more about our work, and the ways in which you would like to receive this information (post, email, SMS and phone). In every communication, we will always make it clear how you can tell us if you choose not to receive further marketing communications, either at all, on certain topics or by certain methods.

If you tell us that you do not want to receive marketing communications, we will remove you from our list and will then not send you any further marketing materials.

Processing your data on the basis of your consent

There are a number of circumstances where we only process your data on the basis of your consent. Examples of this are:

  • To send you marketing by email.
  • To send you marketing by SMS (text message).
  • To send you direct messages through social media.

When you give your consent for us to contact you, we do not treat this as valid indefinitely. However, we understand that our supporters want to continue to hear from us whilst they have an active relationship with us, and for a period afterwards.

Here are some examples of what we mean by an active relationship:

  • if you make a donation or sponsorship payment to us, including regular monthly gifts
  • if you participate in an event on our behalf (for example the London Marathon)
  • if you tell us that you have left us a gift in your Will
  • if you take a campaigns action for us, such as signing a petition
  • if you have an ongoing conversation with one of our fundraisers about our work
  • if you are a member of our staff, are one of our Trustees or are in a process that may lead to you being recruited as either

We will consider your consent to be valid whilst you take these actions, and then for a maximum of 60 months afterwards (or less if relevant), to enable us to keep you up to date with our work and to offer you other ways you might choose to support us. Before this time period ends we will contact you to re-confirm that you are happy to continue to hear from us.   After the time period ends we will remove your information from all our systems, unless you have replied to re-confirm you’d like to continue to hear from us.

Working with, and understanding, High Net Worth individuals

As an organisation committed to raising funds for women’s rights, we will undertake in house research to understand more about you by gathering further information about you from publicly available sources, for example Companies House, the Electoral Register and other company websites, ‘rich lists’, social networks such as LinkedIn, political and property registers and news archives.   We may also carry out research using publicly available information to identify individuals who may have an affinity to our cause but with whom we are not already in touch. This may include people connected to our current key supporters or trustees.

We may also fast track this research or carry out wealth screening using our trusted third-party partners such as Prospecting for Gold.

This research helps us to understand more about you as an individual so we can focus conversations we have with you about fundraising in the most effective way, and ensure that we provide you with an experience as a donor or potential donor which is appropriate for you. It also enables us to spend less money than we otherwise would to raise more funds to achieve gender equality, faster.

We also use publicly available sources to carry out due diligence on donors in line with the charity’s Donations Acceptance Policy and to meet money laundering regulations.

If you would prefer us not to use your data in this way please get in touch with our Supporter Care Team at any time and they’ll be happy to help:

  • Email:              supportercare@womankind.org.uk
  • Telephone:      0203 735 5558
  • Post: Womankind Worldwide, Shoreditch Exchange, Gorsuch Place, 97-101 Hackney Road, London E2 8JF

Who we may share your information with

We will only use your information within Womankind for the purposes for which it was obtained. Womankind will not, under any circumstances, share or sell your personal data with any third party for marketing purposes and you will not receive offers from other companies or organisations as a result of giving your details to us.

We may need to share your data with third-party companies who provide services to Womankind including delivering post, sending emails, and processing credit card payments. We will only provide these companies with the specific information they need to deliver the specific service and ensure that your data is treated with respect and integrity.

On occasion we will share your information with trusted third party partners, such as Prospecting for Gold, as part of our fundraising research into understanding more about high net worth individuals.   More information on this is included in the section above.

Certain third party fundraising organisations collect data on our behalf as well as for their own use. We may receive your personal details from third party organisations for our marketing purposes where you have consented for this information to be shared.

How we keep your information safe

Womankind Worldwide takes the care of your data very seriously and we use a combination of organisational and technological security measures to protect your personal information to the highest possible standards. We follow payment card industry (PCI) security compliance guidelines when processing credit card payments.

We make sure that only staff who need to access your personal data can do so. Any member of our staff who has access to your personal data is given training to make sure that they understand the importance of keeping your information safe and secure at all times.

Whilst we take all of the measures that we’ve outlined above, unfortunately, the transmission of information using the internet is not completely secure. Although we will do our best to protect your personal data sent to us this way, we cannot guarantee the security of data transmitted to our site.

In the extremely unlikely event that we experience a data breach, our Data Protection Officer would immediately work with the Information Commissioner’s Office if necessary.
